Digital EIR — What It Is and How to Replace Paper at the Gate

The Equipment Interchange Receipt (EIR) is the record of a container's interchange (in/out) between parties: who hands it over, who receives it, in what condition, and with what evidence (photos, seals, damage).

What a digital EIR gives you

• Traceability: who signed or validated it, and when.
• Evidence: damage photos and an equipment number consistent with the movement.
• Less friction: the client stops asking for photos over WhatsApp.

What it usually includes

• Container identification (ISO number).
• Movement type (gate in / gate out).
• Transport and driver data when applicable.
• Declared condition and damage per inspection.
• Date and time of the event.

How it fits with the gate

In a depot system, the EIR is generated as part of the Gate In/Out flow — not as a standalone PDF on someone's desktop. The same record feeds inventory, inspection, and, where applicable, EDI.

From paper to digital without losing control

1. Define capture templates per client type.
2. Require a photo and timestamp at critical points.
3. Train guards and operators with a short checklist.
4. Connect to the portal so the carrier can see status.
